Question Answers about becoming a trainer
> > I am presently working as a Technical Writer in a telecom MNC. I wish to be > a trainer. Please guide me. > I have the following questions related to this:
> > > What are the areas wherein I can focus to pursue training as my carrer?
[Mak] I think it is for you to decide, based on your existing areas of expertise. If you set out today to learn something new so that you become a trainer in that domain, it will take you at least 3 to 5 years to reach a level where you can confidently (and single-handedly) train others (for a professional fee).
-
> Can I be a technical writer and a trainer at the same time?
[Mak]Yes. I am doing this for last seven years. I know others more like me. So I can say this with confidence.
-
> What skills does it require to be a good trainer?
[Mak]Lots of them! Here is a list (not sorted in the order of importance). Though I can not categorize all of them as skills. Let's say they are the "essentials."
* Subject knowledge (backed by ability to keep learning...else you will be out of business in 1-2 years) * First hand working experience (so that you can satisfactorily answer questions raised by participant)

* Excellent communication skills
* Ability to control a crowd of 15 t o 30 participants (much more if you want to train in colleges or educational institutes)
* Non-verbal communication skills (good sense of using body language)
* Familiarity with tools of the trade (computer hardware and software, projector, flip-chart, whiteboard, markers, dusters, audio-visual aids...)
* Some knowledge of audience psychology
* Self-confidence
* Flexibility & openness (ability to adjust work time, work late in the evening, work on weekends, travel outstation)
* Willingness to take risk and experiment new concepts
* Ability to network with others on the circles of trainers and training companies (institutes)
* ability to learn from others and train yourself more and more at regular time intervals
* Patience
* Positive attitude (should not become nervous in front of the audience)
* Practice
* Practice
* Practice
* Practice
* More Practice...
-
> What will be carrer growth? Will I be in a better postion that being a technical writer?
[Mak]One can not compare like that. They are parallel tracks. You can specialize in both, even at the same time (if you can work extra hours). If you are good you will soon receive invitations from places that you may not have imagined. BTW, training can pay really well (higher than Technical Writing, per day) and is one of the most respected profession in the industry. Do not forget the overheads! For every one day of training that you conduct, there will be at least 10 to 15 days of homework initially (it can reduce subsequently). For every one day of training that you conduct there will be at least 5 to 6 hours of administrative work required. I know of a management trainer who charges Rs. 1,00,000/- (Rupees one lakh per day) for corporate training. He has more than 20 years of (global) professional experience. He is one of the best in business. He also teaches at leading institutes like IIMs. He runs one of the leading management training institutes in India.

In Retrospect

November 17, 2009 10:12 by Onkar Telkikar

Hi Colleagues & Friends,

As I look back to that fine morning in December 2008, when I decided to join the Fast Track Course at Technowrites, I begin to think that it has been my privilege to be associated with Technowrites and with Makarand Sir. Now, while reaping the benefits of my classroom training  as well as of my hands-on experience as a trainee Technical Writer, I just think why Technowrites doesn't start a course on freelancing? Right from the days when I was working as a Content Writer, I used to think that I should also work as a freelancer. But I didn't know how to lift this idea off the ground. I didn't have proper information about starting a freelancing career.

As Technowrites has already carved a niche for itself in the world of Technical Communication, conducting a course on freelancing won't be a big deal for it. In fact, it would earn some more brownie points in this lesser explored area also. (Frankly, I'm not aware of any institute in India that conducts a course on freelancing). But I think, Makarand Sir, who has worked as a freelancer in the past, can carry this idea to its triumphant completion. I look forward to Makarand Sir, to initiate us, the ever enthusiastic lot, into the field of freelancing.

Friends, again, your esteemed ideas and suggestions are always welcome!

Keep writing,

Onkar

Introduction to Process Documentation

July 24, 2009 12:55 by geeta.garud

We often come across the term process documentation, injob sites, resumes and trainings. I have been fortunate to work on a variety ofdocumentation including process documentation. This article will help youunderstand the basics of Process Documentation and the need to develop suchdocuments.

Buzzy is a bee technical writer who was hired by BeeHiveCorp. to develop process documentation for their departments. Buzzy being agood writer decided to first understand the basic concepts of a process and processesdocumentation. He took the help of his colleague, a fellow process engineerwith BeeHive Corp., Wizzy Bee.  Hestarted asking her the following questions and she calmly explained.

What is a Process?
A business process is: A sequence of relatedactivities or tasks that are, structured to effectively produce a specific product, service, or serve a particular goal; and is sold to a customer(s) in order toobtain revenue.
BeeHive Corp is a part of Hexagon Group of Industries andis run by the CEO Queen B and her board of directors the BeeRectors. They areinvolved in the production of Honey Gold that is sold to consumers across thetown. The primary operations of the organization were carried out at Green Park.Along with the primary operations of honey production BeeHive Corp. alsoperformed other subsidiary processes like nectar collection, honey packaging, and honey storage. So considering the definition we can say that all theseprocesses of honey production along with the subsidiary processes together aretermed as business processes.
Like BeeHive Corp a variety of processes undertaken in anorganization are considered as business processes. These processes vary withthe type of domain an organization belongs to. Some of the business processesfollowed in an organization are given below:

Domain

Example

Banking and Finance

Bank Account Opening
Allotment of Loans
Check clearance

Manufacturing*

Manufacturing of a product
Supplier Verification
Purchase of raw materials
Sales Processes
Marketing Processes

Information Technology*

Software development, installation, and maintenance
Hardware installation and maintenance
Handling Change Requests

Telecommunications*

Software development, installation, and maintenance
Hardware installation and maintenance
Customer related process like CRM
Queries resolutions

BPO/KPO industry*

Handling calls
Induction Process
Setting of calls

* Documents to use the machines, software, and hardware for producing a product are considered as User Manuals (manufacturing industry) and User Guides (IT industry)

What is processdocumentation?
You can simply state that,
The documentation ofall business processes is termed as ProcessDocumentation.

But that is justthe logic behind process documentation. Why do you need process documentation?
Wizzy began to tell him about the actual process to createhoney. She said this process is divided into three key processes and carriedout by different departments:

No.

Processes

Departments

1.

Collection of Nectar from the followers in Green Park

Nectar Jocks

2.

Production of Honey

Honey-makers

3.

Packaging of Honey and Wax

Gold Packers

In addition to these we also have some support divisionsthat help these key processes.

No.

Processes

Support Divisions

1.

Training department

Beeners

2.

Administration and BR (Bee Resource)

Adbins

3.

Marketing and sales

Cellars

Earlier, when the company was small, with just around 100bees things were easy to handle. Soon the demand grew and as a result theproduction started to grow. But with the growing demand and the resultantgrowing work force, managing all these activities started to become difficultand we witnessed loss of quality and sales, due to conflicts in opinion on:
-         Employee remuneration issues
-         Acceptance criteria for nectar quality
-         Sub-division of work and so on…
So the BeeRectorsdecided to standardize and document some basic process to avoid such conflictsand hopefully improve quality.
The logic is clear – if you have a business process, document it!

Why do we gothrough this entire trouble of documenting processes? Aren’t they obvious? Can’t they be learnt on the job?
Wizzy calmly said that most organizations documentprocedures due to the following reasons:
·        Conflictresolution – A standard process helps the organization to agree upon andstandardize the acceptable business process. These processes should be followedby the organization, its employees, and third party organizations. They areconsidered as the baseline to resolve conflicts within departments, individuals, or with third parties and reach to an agreement.
·        Obtainquality certifications – Standardized and effective processes help thecompany to improve the quality of its products and services. These can in-turnhelp organizations to obtain official certifications, such as:

-         CapabilityMaturity Model® Integration (CMMI) helpsorganizations to improve their processes with the help of essential elements toimplement effective processes. CMMI helps integrate organizational processes, setprocess improvement goals, provide guidance for process improvements, andprovide a point of reference to evaluate current processes. Refer to, http://www.sei.cmu.edu/cmmi/general/
-
InformationTechnology Infrastructure Library (ITIL) is a set of concepts and policiesfor managing information technology (IT) infrastructure, development andoperations. Refer to,
http://www.itil-officialsite.com.
-         InternationalOrganization for Standardization (ISO) is the world's largest developer andpublisher of International Standards. It is a non-governmental organizationthat forms a bridge between the public and private sectors to develop a set ofstandards complied by all its member countries. It is a network of the nationalstandards institutes of 161 countries, one member per country, with a CentralSecretariat in Geneva, Switzerland, that coordinates the system. Refer to, http://www.iso.org/iso/home.htm.

·        Maintainingtransparency – Documenting and publishing standard processes helps tomaintain transparency with the shareholders, employees, government, and third-partyvendors/suppliers.

If this is whycompanies develop process documentation, who is the target audience?
The target audience of the process documentation consistsof all those parties that are directly or indirectly involved in execution ofthe business processes.
In case of BeeHive Corp. all the parties involved in thebusiness process is the target audience, like:
 Nectar Jocks
-    Honey-makers
-    Gold Packers
-         Beeners
-         Adbins
-         Cellars
-         Queen B and BeeRectors

So which alldocuments do I need to prepare to for good implementation of processes?
Process documents ideally consist of the following typesof documents:

Document

Description

Process Summary

This document provides a brief description of the process outlined in the next documents.

Flow Chart

This document outlines the standard end-to-end process in a department and for BeeHive Corp. as a whole.

Process Description

This document provides a detailed description of the above process flow and identifies the following factors for each stage of the process:
-          Roles
-          Responsibilities
-          Accountabilities
-          Rejection standards

Check-list

This document, lists the checks to be performed before the completion of one stage and moving on to the next stage in the process. For example, a check-list that identifies the parameters that determine the nectar’s quality is put in a check-list. This check-list needs to be duly filled by the Nectspector before the nectar is sent to the next stage of purification and honey production.

Template

This document helps to capture the execution of each stage in a process. For example, to officially approve the quality of the collected nectar, the Nectspector has to fill-out a form confirming that the nectar is of the acceptable quality.

But I don’t knowthese processes clearly. I have just joined BeeHive Corp. So how do I begindocumenting processes?
As a technical writer, your responsibility while developingprocess documentation is to perform the following tasks with the help of theprocess engineer, i.e., me, and the bees in all the other departments:
1. Clearlyoutline the complete process-flow
2. Gathercomplete information about each stage of the process
3. Identifythe roles, responsibilities, accountabilities and rejection standards
4. Developa detailed checklist based on the tasks to be used for sign-off or approval ofa particular stage
5. Developa template to standardize the official sign-off or approval for the completionof the stage.
So that’s exactly what Buzzy did and the processes ofBeeHive Corp were documented.

Technical Writing – An Emerging Field

June 10, 2009 16:01 by Gaurav Tank

Technical Writing is a new and an emerging field. Since the inception of I.T. industry in India, various industries and fields have come into existence. These fields include graphic designing, security management, networking, technical writing and many more. But surprisingly, even if technical writing emerged because of I.T field, application of technical writing is not restricted to only I.T. This is because the writing skill is used in most of the industry verticals. Writing is not limited to the field of I.T.

What is Technical Writing?
Technical Writing means conveying technical information in an appropriate manner to the correct audience, and in a format in which the targeted audience understands. This may include printed documents as well as online documents (help file).

Advantages of Technical Writing
Many companies in the technical domain discover or create information about many things. This information, if not stored and used properly, may get wasted. Rather companies not making appropriate use of such information may be adversely affected. Here comes the role of a technical writer. A technical writer gathers information and stores it. A technical writer delivers this information to the target audience in a proper way. This makes technical writing imperative in all fields.

Who can do Technical Writing?
One who has a good hold on language, ability to understand technology, and presenting the information in an easily understandable form can become a technical writer. A technical writer can be a male or a female. Some surveys depict that there are more number of female technical writers than the male technical writers in India.

Is an engineering degree or a B.A. essential to become a technical writer?
No. It is not necessary to be a B.A. or an engineer to be a technical writer. But the will to learn and ability to grasp the subject is essential. In fact, education in technical stream will be helpful to understand highly technical subjects thoroughly and quickly.

Where can a technical writer get a job?
A technical writer can get a job in I.T, manufacturing, engineering, telecom, networking, banks and financial institutions and many more industries.

How much does a technical writer earn?
Non-experienced/fresher may earn Rs.8000/- to Rs.15000/- per month approximately. Technical writer after 2-3 years of experience may earn upto Rs 40000/- per month. According to a survey conducted by STC India Chapter, the average salary of a technical writer in India is Rs. 8,00,000/- per annum.

What can be the career path of a technical writer?
A technical writer, after 3-4 years of experience, can become a Senior Technical Writer. After another 2-3 years of experience, he/she can become a Manager or can specialize in a field or technology of technical writing. At present in India, there are only a handful of technical writers with an experience of more than 15 years. On the other hand, there are technical writers with 30-40 years of experience outside India.

Where one can learn technical writing?
Unfortunately, no university today conducts courses for technical writing. Pune University was conducting course in technical writing until two years ago. At present, Technowrites Pvt. Ltd. is imparting training for technical writing. Technowrites is a pioneer in technical writing services, consultancy, and training in India. These courses are in great demand and are receiving good response from the industrial world.
